About the job
We are currently looking for an administrative specialist to support our AP Consulting Leaders. Reporting to the Program Management Director of Global Consulting Services, this role entails providing advanced administrative assistance and coordinating various projects, often involving highly sensitive and confidential information. The ideal candidate will possess in-depth knowledge of departmental practices, company products, management policies, and general business operations. The Administrative Specialist will exercise independent judgment, prioritize tasks, and implement procedures as directed by the Senior Executive.
As an Executive Assistant, you will:
- Directly assist Senior Leaders and key leadership team members with a range of special assignments and tasks under general supervision.
- Independently manage administrative duties and coordinate the administration of complex department programs, requiring an in-depth understanding of policies and procedures.
- Act as a liaison for the Executive, communicating relevant information to the staff and maintaining high-level contacts both within and outside the company.
- Screen calendar requests and emails, respond to inquiries by gathering information from employees, vendors, customers, or the public.
- Manage the Executive’s schedule by overseeing calendar appointments and making travel arrangements.
- Prepare and organize team social projects and reports, addressing diverse challenges that require information analysis and evaluation.
- Administer and maintain department applications, assist in designing new systems, ensure documentation is current, run and analyze reports, and resolve discrepancies.
- Compose and prepare various documentation, take dictation or notes (possibly of a technical nature), and manage requests for purchases, travel, and expenses.
- Train and collaborate with additional administrative support staff and student employees, guiding them on company policies, procedures, and software applications.
- Coordinate general department duties, including maintaining distribution lists, processing mail, serving as the team's point of contact, and supporting employees in specific areas of focus.
- Plan, organize, and manage meetings and events from inception to completion, including scheduling, reserving meeting spaces, ordering catering, developing agendas/presentation decks, and coordinating with presenters.
- Provide assistance to the Executive’s direct reports as needed to support functional area goals and priorities.
- Serve as a backup for other regional representatives in similar roles.
Required Qualifications
- Excellent knowledge of office procedures and the ability to operate general office equipment and technology.
- Excellent problem solving, writing, interpersonal, communications, strong application experience with the full Microsoft 365 tools is preferred.
- Excellent project management and event planning skills
- High level of professionalism including the importance of confidentiality at senior levels of leadership
- Thorough knowledge of company operations, policies, and procedures
- Knowledge of functional area of Consulting Services is preferred.
- Proficiency in English is essential for this role, as effective communication within the team and with stakeholders is paramount.

Preferred Qualifications
- As this role supports a multi-regional team, an ideal candidate would also be bilingual in Korean or Japanese, but this is not required.

*This position is offered on a fixed-term contract basis, with the potential for renewal contingent upon performance.
